Under the direction of the Supervisor, Community Relations, the Community Relations Coordinator will support the Community Relations team in various capacities, such as with the coordination and execution of community events and sponsorships, inventory management and fulfillment, and data entry. This individual should be highly organized, have exceptional time management skills, strong attention to detail, and works well as part of a team. Additionally, this role will require someone who can manage multiple responsibilities at once, and who takes initiative to get the job done. This role will require some off-site work at community events, which may take place after work hours or on weekends. Professionalism and providing quality customer service to both internal and external business partners is a must in this role. Experience with Salesforce is a plus. KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS* (in order of importance) Support Community Relations team * Maintain an accurate database of sponsorship requests received through Cybergrants by entering details of each application into Salesforce on a weekly basis * Coordinate payment of all sponsorships by working with the Director, Community Relations & Marketing, marketing coordinator, and Cybergrants sponsorship team * Work with marketing and communications teams to develop advertisements for placement in program books as part of sponsorship benefits. * Work with community outreach reps, vendors, and marketing/communications team on fulfilling orders for community signage from intake to installation, ensuring the clients' needs are met and delivered on time * As needed, the CR coordinator will be asked to attend some community events on behalf of the team, which may fall on a night or weekend * Receive and process invoices for Community Relations teams, including maintaining spreadsheets to track invoices and spending * Fulfill community relations "sales" toolkits by working with internal copy/print center Inventory management * Manage inventory system within Salesforce * Monitor inventory quantities at warehouse and in-house storage room to ensure appropriate volumes of promotional materials and marketing collateral. * Track, report on, and forecast inventory usage * Fulfill orders for community relations team * Work with vendors to request quotes * Receive and coordinate orders with vendors and off-site warehouse * Maintain on-site storage room * Represent Tufts Health Plan in a manner consistent with company values. * Strictly adheres to company and departmental policies and procedures and regulatory agency guidelines, including HIPAA regulations. * Performs other duties as necessary and assigned EDUCATION: (Minimum education required) * Bachelor's degree, preferably in marketing/communications or related field EXPERIENCE: (Years of experience) * 2 to 3 years' experience working in a marketing/communication, health care/health insurance, or customer service field. SKILL REQUIREMENTS: (Include interpersonal skills) * Bilingual a plus * Must have excellent oral and written communication skills * Must have solid project and time management skills. * Must have strong attention to detail, organizational skills, and data entry skills. * Must have working knowledge of Excel, Word, PowerPoint, and ideally proficient with Salesforce. * Must have ability to work cooperatively as a team member, and to interact professionally and effectively with managers and staff of internal departments at Tufts Health Plan in order to handle customer/member issues. Also must maintain excellent relationships with internal business partners. WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS: (include special requirements, e.g., lifting, travel, overtime) * Demands high energy and patience level. * Must be able to carry heavy materials. * Must be able to stand for up to 4-6 hours at events. * Works 10% of the time on the road. * Must have a valid driver's license and a reliable vehicle. * Travel may be required within MA and RI. * The job may require early morning, evening or weekend hours.
