Title:                            Office Assistant

Department:                Office of the Provost

Reports to:                  Provost

Supervises:                 Student workers

Internal Contacts:       Provost, Deans, Faculty, staff, students

External Contacts:      All incoming callers and guests to Office of the Provost




  • Perform day-to-day functions for the Office of the Provost, as assigned by the Assistant to the Provost and the Provost.
  • Assist with orientation process for all new faulty, explain the new hire process, give a brief tour of the facilities and introduce them to the school’s departments
  • Assist in the managing of Provost/ meeting calendar
  • Oversee the coordination of Master Classes
  • Maintain all faculty files, including contracts, course evaluations, website materials, reports & directories
  • Oversee and reconcile expense reports and credit card  in Provost’s domain
  •  Assist in the supervision of student workers
  • Create, process, and file course evaluations
  • Create Dean’s List Certificates
  • Interact and welcome guests, answer phones, and respond to questions
  • Provide general office support


Job Requirements

  • Bachelor’s Degree,  musical background preferred
  • 1-2 years of work experience in an office or administrative support position
  • Understanding of budgets and spreadsheets
  • Organized and punctual
  • Must have a professional manner, excellent interpersonal skills, and presentation and the ability to maintain a high level of confidentiality
  • Ability to work well with others in high pressure situations
  • Computer knowledge including Microsoft Word, Outlook, and Excel, experience with database management preferred
